Voice Messaging Quick Guide
Access Your Voice Mailbox:
There are several ways to access your voice mailbox:
From your IP Phone, press the
Messages
button (the system will ask
you for your password).
From outside, call your telephone number. When your voice mail answers,
press the * key (the system will ask you for your password).
From a Web browser, login to your
PingTone Web Portal
http://online.pingtone.com
.
Please refer to the Web Portal Quick Guide for further Web Portal instructions.
Play Messages:
The voice mail system will provide appropriate voice prompts. Your options
will also appear on the soft keys on your IP telephone.
Press
1
to play new messages in your Inbox.
Press
2
to play your Saved messages.
At any time during the playback of messages you may perform the following
functions:
Press

to
reply
to the message (if it is a message from an internal caller).
Press
3
to
dial
the telephone number of the originator.
Press
4
to
delete
the message.
Press
5
to
save
the message.
Press
6
to
forward
the message to another internal user.
When forwarding a message you will be prompted to enter an extension(s) and
record an introduction. After recording your introduction, you may:

to
send
the message.
Press
2
to
change
the message.
Press
3
to
review
your introduction.
Press
9
to mark your message
urgent
.
Press
7
to
replay
the message.
Press
8
to
pause message during playback
or
continue
Press
#
to
skip
to the end of the message.
Greetings:
You have the option of recording three different personal greetings or you may keep
the system greeting which will inform a caller that you are "unavailable". Each of the
three greetings will play depending on the status of your telephone (no answer, busy
or in Do Not Disturb mode).
To Record Greetings:
At the main menu press

a greeting

No Answer
greeting (record greeting, then press #).
Press

to record a
Do Not Disturb
greeting (record greeting, then press #).

Busy
greeting.
Note: You may press * at any time to return to the previous menu.
To Review Your Greetings:
At the main menu press

greeting.

greeting.
Password:
At the main menu press

to change your
Password
. The system will prompt
you to enter your password and then re-enter it. If you forget your password you
will have to contact PingTone or your System Administrator to have it reset.
Forward All Calls to Voice Mail:
Activate the
Do Not Disturb ("DND")
feature on your telephone.
Web Portal Quick Guide
Access Your Web Portal:
1. Open your web browser and go to:
2. Once at the main login page, enter your complete phone number, excluding
hyphens and extra dial-out digits. Enter your
password.
3. Click

To add contacts to your Personal Directory
1. On toolbar at the top of the web page, click
Directory
sub-menu.

, and enter in all necessary fields for each contact.

To phone a contact in your Directory (for users with Cisco IP Phones)
1. Click the hyperlinked extension or phone number of the contact you wish to call.
2. Your speakerphone will activate and the call will begin.
To leave a voicemail for one of your contacts (Corporate Directory only):
1. Click the speaker icon located next to the hyperlinked extension of your contact.
2. Your call will automatically be patched into your contact's voicemail account.
"Voice Mail" Tab:
On the toolbar at the top of the web page, click
To play a message from your inbox or your saved voicemail, click the speaker
icon (located in the Functions column) to play the message to your PC; to play
the message to your phone, click the phone icon.
"Conferencing" Tab:

"Call Management" Tab:
Logs
allows you to see a running tab of all phone calls made to or placed from
your phone number. It may be sorted by Direction, Number, Name, Date, or
Length.
Call Treatment
enables you to screen your calls based upon particular criteria
and send certain numbers to different destinations such as voicemail or a forward
number indicated by the user.
Forwarding
is available so that you may forward phone calls always, when
your line is busy, or when there is no answer to your line. You may enter
selected numbers to which you wish your calls forwarded in each of these
situations.
"Options" Tab:
Password
allows you to change your web portal password after providing your
current one.
The
Call Control icon
phone call: Release, Hold, Park, Transfer, Dial, and Do Not Disturb.
Help
takes you to the Web Portal help page, should you have any questions.
Log Off
will automatically log you off the Web Portal web site.
